Exporting your project data

Which formats each view exports to, and what ends up in the file.

What each view exports

The Gantt exports to PNG and PDF, because a timeline is a picture. PNG suits a slide or a status email; PDF suits anything printed or attached to a formal report.

Table-shaped views export to Excel and CSV as well as PDF. Excel is the one to use when someone downstream needs to pivot or filter the data; CSV when it is being fed into another system; PDF when it is being read rather than processed.

What is in the file

Exports carry the data as you are currently looking at it, including your custom columns and the groups your tasks are organised into. Renaming a column in your project carries that name through to the export.

Budget exports include the calculated earned value figures, not just the raw planned and actual costs, so the numbers in the file match the numbers on screen.

A note on what export is for

Exporting is for sharing and reporting, not for backup. Your project data lives in the database and is not something you need to export defensively.

If you need someone to see live data rather than a snapshot, invite them as a Viewer instead. A Viewer costs nothing on paid plans and always sees the current position, which a spreadsheet emailed last Tuesday does not.
